Requests for Academic Transcripts

MAINTENANCE OF ACADEMIC RECORDS:
Academic records of Kapi'olani credit enrollment (courses, semesters, grades & credits) are maintained for current and former Kapi'olani students permanently.

FINANCIAL HOLDS:
Academic transcripts cannot be released for students with financial obligations to any school within the U.H. system. If the Kekaulike Information & Service Center (KISC) is unable to process a request for an academic transcript because of an outstanding financial obligation, the student will be informed either in person or in writing of the problem.

TRANSCRIPT CHARGES:

  • Beginning January 1, 2004, Aldrich/Banner transcripts will be available online for the University of Hawaii System Schools. It is no longer necessary for students to request hard copy transcripts for in-system transfer purposes between any of the UH System Schools (University of Hawaii at Manoa, University of Hawaii at Hilo, University of Hawaii – West Oahu, Hawaii Community College, Honolulu Community College, Kapi'olani Community College, Kauai Community College, Leeward Community College, Maui Community College, Windward Community College).
  • Contact the UH School you plan to transfer to for information on procedures of how to initiate the transcript evaluation process for granting transfer credit.
  • For employment or scholarship purposes at a UH System School, an official hard copy transcript is required. You must submit a transcript request and pay the required fee at KISC in ‘Ilima 102.
  • $3.00 per copy for all other official transcripts (processed within 5-7 working days, excluding state holidays and weekends). Effective January 1, 2006: $5.00 - regular processing
  • $10.00 per copy for RUSH requests (processed within 24 hours, excluding state holidays and weekends) including RUSH requests to be sent within the U.H. system. Effective January 1, 2006: $15.00 - rush processing

All charges must be paid in advance. Billing for transcript charges in not allowed. Payment is accepted via cash (in person only), check or money order.

UNOFFICIAL ADVISING TRANSCRIPTS:
Current students who have an active UH Username & Password may view or print out an unofficial advising transcript using MyUH Online. Go to MyUH Online > Student Records > View Unofficial Advising Transcript.

Go to: MyUH Online

REQUESTING TRANSCRIPTS IN PERSON:
Students or former students who want to receive a copy of their complete Kapi'olani academic record or have a copy sent elsewhere should fill out a Request for Transcript form at KISC in Ilima 102.

Location: Diamond Head Campus, 'Ilima 102
Hours: M-TH 9:00am to 4:15pm, F 9:00am to 12:30pm

UNOFFICIAL TRANSCRIPTS:
Students or former students who come to KISC and want a personal (unofficial) copy of their KCC academic record may pay the $3.00 fee and receive the transcript immediately. These copies will not have the official seal and registrar's signature. Students must show a picture I.D. in order to pick up a transcript.

REQUESTING TRANSCRIPTS BY MAIL:
Letter requests for academic transcripts should include the following information:

l. The student's name, social security number, and current address.
2. The name under which he/she attended Kapi'olani, if it is different.
3. Approximate dates of attendance at Kapi'olani.
4. Complete address to which the transcript should be sent.
5. The number of copies requested and any special instructions.

All requests must include the student's signature.
All requests must include the payment for applicable transcript charges.

  • If paying with a credit card, include the name of credit cardholder, credit card number, expiration date, credit card code (3 or 4 digit code that follows the credit card number on the backside of the card in the signature block), and authorized amount to be charged.

Letter requests should be addressed to:

Kapi'olani Community College
Kekaulike Information & Service Center
4303 Diamond Head Road, ‘Ilima 102
Honolulu, HI 96816

Generally all transcripts intended for other educational institutions should be sent directly to the appropriate office at that school in order to guarantee that the transcript will be accepted as official. Students requesting to have a transcipt sent to them personally, which they, in turn, want to submit elsewhere as an official transcript should request that the transcript be sent in an "officially sealed" envelope. However, we do not guarantee that other schools will accept these as official transcripts.

REQUESTING TRANSCRIPTS BY FAX:
Requests may be faxed to the following number: 808-734-9896, Attention: KISC Transcript Request. Include the same student and payment information as stated above in the “Requesting Transcripts by Mail” section.

SENDING TRANSCRIPTS BY FAX:
Transcripts will be faxed only under special emergency situations with prior approval of the registrar. The $10.00 RUSH charge will be applied and advance payment is required. Other institutions will probably not accept these as official transcripts, so there would also be an additional charge for any requested official copy to follow by mail.

ENCLOSURES WITH TRANSCRIPTS:
Kapi'olani cannot accept enclosures to be sent with transcripts, except for a verification card or form.

VERIFYING THAT TRANSCRIPTS HAVE BEEN SENT:
Kapi'olani does not send written verification that a transcript request has been processed. Students and former students needing to verify that a transcript request has been received and processed may contact KISC at the number listed below.
